Getting started
Section 1CalmLet works entirely in your web browser — there is nothing to download or install. You can access it on any device, including your phone.
Creating your account
Go to app.calmlet.co.uk and click Create Account.
Enter your full name, email address and a password (at least 8 characters).
Tick the box to confirm you agree to the Privacy Policy and Terms of Service.
Optionally tick the box to receive product updates and compliance tips.
Click Create Account. Your free 14-day trial begins immediately — no credit card required.
Signing in
Go to app.calmlet.co.uk.
Enter your email and password, then click Sign In.
You will be taken to your Dashboard.
Dashboard
Section 2The Dashboard is the first thing you see when you log in. It gives you an at-a-glance view of your entire portfolio's compliance status.
Understanding the status colours
Properties
Section 3Properties are the foundation of CalmLet. Everything else — certificates, tenants, tasks, and finances — is linked to a property.
Adding a property
Click Properties in the bottom navigation bar.
Click the + Add Property button.
Enter the property address, type (e.g. Flat, House, HMO), number of bedrooms, and estimated value.
Click Save. The property will appear in your list.
Viewing a property
Tap any property card to open its detail view.
From here you can see all certificates, tenants, and tasks associated with that property.
The coloured status indicator on the card shows whether any certificates need attention.
Editing or deleting a property
Open the property, then tap the Edit button to change any details.
To delete, open the property detail and tap Delete property. This will permanently remove the property and all its associated data.
Certificates & compliance
Section 4This is the core of CalmLet. Track every compliance certificate for every property, upload documents, and get alerted before anything expires.
Certificate types you can track

Adding a certificate
Go to Certificates in the navigation bar, or open a Property and tap Add certificate.
Select the certificate type from the list.
Enter the issue date, expiry date, and optionally: contractor name, reference number, and notes.
To attach the document, tap Upload document and select a PDF, JPG or PNG (up to 5 MB).
Click Save.
Renewing a certificate
When a certificate is renewed, add it as a new certificate using the same process above.
CalmLet automatically marks the previous certificate as Replaced — it stays in your history for reference but won't show as active.
Downloading or printing a certificate
Open the certificate by tapping it in the list.
If a document is attached, you'll see a Download button and a Print button.
Use these to share the document with a tenant or keep a printed copy.
Setting up expiry reminders
CalmLet sends email reminders before certificates expire. The default is 60 days and 14 days before expiry. You can change this in Settings → Notifications.
Tenants
Section 5Keep all your tenant contact details, rent information, tenancy dates and deposit details in one place.
Adding a tenant
Go to Tenants in the navigation bar and click + Add Tenant.
Enter the tenant's name, email address, and phone number.
Link them to a property using the property dropdown.
Fill in the tenancy start and end dates, monthly rent, and deposit amount.
Optionally enter the Deposit Protection Scheme (DPS) reference number.
Add any notes and click Save.
Tenancy Agreements
To upload a signed tenancy agreement, add a new certificate of type Tenancy Agreement and link it to the relevant tenant. This keeps it in your compliance record alongside all other certificates.
Tasks
Section 6Tasks are a simple to-do list for anything property-related — chasing a contractor, organising a repair, or following up with a tenant.
Creating a task
Go to Tasks and click + Add Task.
Enter a title and optional description.
Set a due date and optionally link the task to a property or certificate.
Click Save.
Completing a task
Tap the task to open it.
Click Mark complete. Completed tasks move to the bottom of your list.
Contacts
Section 7Store your trusted contractors, letting agents, and suppliers here so their details are always at hand when something needs fixing.
Adding a contact
Go to Contacts and click + Add Contact.
Enter the name, category (e.g. Gas Engineer, Electrician, Letting Agent), phone, email, and website.
Optionally enter their Gas Safe / NICEIC registration number in the Reg field — useful for verifying credentials quickly.
Add any notes (e.g. "Covers central London only, 2–3 day lead time") and click Save.
Communications log
Section 8Log every communication you have with tenants — emails, calls, letters, visits. This is your paper trail if a dispute ever arises.
Recording a communication
Go to Tenants and open the tenant you communicated with.
Scroll to the Communications section and click + Log communication.
Select the type: Email, Phone, Letter, or Visit.
Enter the date, subject and a summary of what was discussed.
Optionally attach a supporting file (e.g. a copy of the email or letter as a PDF).
Click Save.
Tax & Making Tax Digital Pro & Portfolio
Section 9The Tax section helps you track rental income and expenses throughout the year and prepare your quarterly MTD ITSA submissions. Making Tax Digital for Income Tax Self Assessment (MTD ITSA) is HMRC's requirement for landlords with rental income over £50,000 from April 2026, and over £30,000 from April 2027.
Recording income and expenses
Go to Tax in the navigation bar.
Click + Add Income / Expense.
Select the category — e.g. Rental Income, Mortgage Interest, Repairs & Maintenance, Agent Fees, Insurance, etc.
Enter a description, amount (£), and the date it occurred.
Optionally link the record to a specific property.
Click Save. The record will appear in your list for the current tax year.
Understanding the quarterly view
The top of the Tax page shows the four MTD ITSA quarters for the current tax year (April to April). Each quarter card shows:
- The quarter period (e.g. Q1: 6 Apr – 5 Jul)
- The submission deadline
- Whether it's Submitted, Due soon, or Pending
Marking a quarter as submitted
Click Submit Q1 (or whichever quarter) on the quarter card.
CalmLet will show you a summary of income, expenses and net profit for that period.
Click Mark as Submitted to record that the quarter has been filed.
Allowable expenses you can claim

Settings
Section 10Account details
Update your name, email address or password from Settings → Account.
Subscription & billing
Go to Settings → Subscription to see your current plan.
Click Upgrade to choose a paid plan and enter your card details via Stripe's secure checkout.
To cancel or change your payment details, click Manage billing to open the Stripe Customer Portal.
Notification preferences
Go to Settings → Notifications.
Choose how many days before expiry you'd like to be reminded — you can set two thresholds (e.g. 60 days and 14 days).
Save your preferences. CalmLet will send email reminders to your registered email address.
Referrals
Share CalmLet with other landlords and earn rewards. Go to Settings → Referrals to find your unique referral link. When someone signs up using your link and becomes a paying customer, you'll receive a reward — details are shown on that page.
Exporting your data
Go to Settings → Data.
Click Export my data to download a full JSON export of all your properties, certificates, tenants, tasks, contacts and tax records.
This export satisfies your right to data portability under UK GDPR.
Deleting your account
Go to Settings → Data and click Delete my account.
This permanently deletes all your data. Export your data first if you need to keep it.
