Getting started

Section 1

CalmLet works entirely in your web browser — there is nothing to download or install. You can access it on any device, including your phone.

Creating your account

  1. Go to app.calmlet.co.uk and click Create Account.

  2. Enter your full name, email address and a password (at least 8 characters).

  3. Tick the box to confirm you agree to the Privacy Policy and Terms of Service.

  4. Optionally tick the box to receive product updates and compliance tips.

  5. Click Create Account. Your free 14-day trial begins immediately — no credit card required.

Your trial gives you full access to all features for 14 days. After the trial, you can choose a paid plan or continue on the free Starter tier (1 property, core features).

Signing in

  1. Go to app.calmlet.co.uk.

  2. Enter your email and password, then click Sign In.

  3. You will be taken to your Dashboard.

Section 2

The Dashboard is the first thing you see when you log in. It gives you an at-a-glance view of your entire portfolio's compliance status.

Understanding the status colours

Expired Certificate has passed its expiry date. Action required immediately.
Due soon Expires within your notification window (default: 60 days). Renewal recommended.
Valid Certificate is current and within date.
Replaced A newer version of this certificate exists. This record is kept for your history.
tips_and_updates
The red urgent alerts panel only shows certificates that need attention. A clean dashboard with no alerts means you're fully compliant — that's the goal!

Properties

Section 3

Properties are the foundation of CalmLet. Everything else — certificates, tenants, tasks, and finances — is linked to a property.

Adding a property

  1. Click Properties in the bottom navigation bar.

  2. Click the + Add Property button.

  3. Enter the property address, type (e.g. Flat, House, HMO), number of bedrooms, and estimated value.

  4. Click Save. The property will appear in your list.

Viewing a property

  1. Tap any property card to open its detail view.

  2. From here you can see all certificates, tenants, and tasks associated with that property.

  3. The coloured status indicator on the card shows whether any certificates need attention.

Editing or deleting a property

  1. Open the property, then tap the Edit button to change any details.

  2. To delete, open the property detail and tap Delete property. This will permanently remove the property and all its associated data.

warning
Deleting a property is permanent and will remove all linked certificates, tenants and tasks. Download a data export first if you need to keep records.

Section 4

This is the core of CalmLet. Track every compliance certificate for every property, upload documents, and get alerted before anything expires.

Adding a certificate

  1. Go to Certificates in the navigation bar, or open a Property and tap Add certificate.

  2. Select the certificate type from the list.

  3. Enter the issue date, expiry date, and optionally: contractor name, reference number, and notes.

  4. To attach the document, tap Upload document and select a PDF, JPG or PNG (up to 5 MB).

  5. Click Save.

tips_and_updates
Always upload a scanned copy of each certificate. This gives you a single, searchable record if you're ever inspected or need to prove compliance.

Renewing a certificate

  1. When a certificate is renewed, add it as a new certificate using the same process above.

  2. CalmLet automatically marks the previous certificate as Replaced — it stays in your history for reference but won't show as active.

Downloading or printing a certificate

  1. Open the certificate by tapping it in the list.

  2. If a document is attached, you'll see a Download button and a Print button.

  3. Use these to share the document with a tenant or keep a printed copy.

Setting up expiry reminders

CalmLet sends email reminders before certificates expire. The default is 60 days and 14 days before expiry. You can change this in Settings → Notifications.

Email reminders are a Pro / Portfolio feature. Starter users can still see expiry alerts on the dashboard.

Tenants

Section 5

Keep all your tenant contact details, rent information, tenancy dates and deposit details in one place.

Adding a tenant

  1. Go to Tenants in the navigation bar and click + Add Tenant.

  2. Enter the tenant's name, email address, and phone number.

  3. Link them to a property using the property dropdown.

  4. Fill in the tenancy start and end dates, monthly rent, and deposit amount.

  5. Optionally enter the Deposit Protection Scheme (DPS) reference number.

  6. Add any notes and click Save.

Tenancy Agreements

To upload a signed tenancy agreement, add a new certificate of type Tenancy Agreement and link it to the relevant tenant. This keeps it in your compliance record alongside all other certificates.

tips_and_updates
Under the Renters' Rights Act 2025, all tenancies will be periodic (no fixed terms). Make sure your tenancy agreements are updated accordingly.

Tasks

Section 6

Tasks are a simple to-do list for anything property-related — chasing a contractor, organising a repair, or following up with a tenant.

Creating a task

  1. Go to Tasks and click + Add Task.

  2. Enter a title and optional description.

  3. Set a due date and optionally link the task to a property or certificate.

  4. Click Save.

Completing a task

  1. Tap the task to open it.

  2. Click Mark complete. Completed tasks move to the bottom of your list.

When you add an expiring certificate, CalmLet automatically suggests creating a renewal task. This keeps your to-do list and compliance records in sync.

Contacts

Section 7

Store your trusted contractors, letting agents, and suppliers here so their details are always at hand when something needs fixing.

Adding a contact

  1. Go to Contacts and click + Add Contact.

  2. Enter the name, category (e.g. Gas Engineer, Electrician, Letting Agent), phone, email, and website.

  3. Optionally enter their Gas Safe / NICEIC registration number in the Reg field — useful for verifying credentials quickly.

  4. Add any notes (e.g. "Covers central London only, 2–3 day lead time") and click Save.

Storing contractor registration numbers means you can instantly verify they are accredited when booking compliance work — a requirement for Gas Safety and Electrical inspections.

Communications log

Section 8

Log every communication you have with tenants — emails, calls, letters, visits. This is your paper trail if a dispute ever arises.

Recording a communication

  1. Go to Tenants and open the tenant you communicated with.

  2. Scroll to the Communications section and click + Log communication.

  3. Select the type: Email, Phone, Letter, or Visit.

  4. Enter the date, subject and a summary of what was discussed.

  5. Optionally attach a supporting file (e.g. a copy of the email or letter as a PDF).

  6. Click Save.

Under the Renters' Rights Act 2025 and Section 8 grounds, having dated records of communications with tenants is essential if you ever need to pursue possession proceedings. Log everything.

Tax & Making Tax Digital workspace_premium Pro & Portfolio

Section 9

The Tax section helps you track rental income and expenses throughout the year and prepare your quarterly MTD ITSA submissions. Making Tax Digital for Income Tax Self Assessment (MTD ITSA) is HMRC's requirement for landlords with rental income over £50,000 from April 2026, and over £30,000 from April 2027.

The Tax feature is available on Pro and Portfolio plans. Starter users will see an upgrade prompt when they navigate to this section.

Recording income and expenses

  1. Go to Tax in the navigation bar.

  2. Click + Add Income / Expense.

  3. Select the category — e.g. Rental Income, Mortgage Interest, Repairs & Maintenance, Agent Fees, Insurance, etc.

  4. Enter a description, amount (£), and the date it occurred.

  5. Optionally link the record to a specific property.

  6. Click Save. The record will appear in your list for the current tax year.

Understanding the quarterly view

The top of the Tax page shows the four MTD ITSA quarters for the current tax year (April to April). Each quarter card shows:

  • The quarter period (e.g. Q1: 6 Apr – 5 Jul)
  • The submission deadline
  • Whether it's Submitted, Due soon, or Pending

Marking a quarter as submitted

  1. Click Submit Q1 (or whichever quarter) on the quarter card.

  2. CalmLet will show you a summary of income, expenses and net profit for that period.

  3. Click Mark as Submitted to record that the quarter has been filed.

Important: Marking a quarter as submitted in CalmLet is a local record only. Direct submission to HMRC requires HMRC-authorised software with production API credentials. CalmLet helps you organise your figures — always submit through HMRC's official MTD-compatible software or an accountant.

Record income and expenses as they happen throughout the year rather than doing it all at once at year-end. It takes seconds per entry and makes your quarterly returns much less stressful.

Section 10

Account details

Update your name, email address or password from Settings → Account.

Subscription & billing

  1. Go to Settings → Subscription to see your current plan.

  2. Click Upgrade to choose a paid plan and enter your card details via Stripe's secure checkout.

  3. To cancel or change your payment details, click Manage billing to open the Stripe Customer Portal.

CalmLet never stores your card details. All payments are handled by Stripe, which is PCI-DSS compliant.

Notification preferences

  1. Go to Settings → Notifications.

  2. Choose how many days before expiry you'd like to be reminded — you can set two thresholds (e.g. 60 days and 14 days).

  3. Save your preferences. CalmLet will send email reminders to your registered email address.

Referrals

Share CalmLet with other landlords and earn rewards. Go to Settings → Referrals to find your unique referral link. When someone signs up using your link and becomes a paying customer, you'll receive a reward — details are shown on that page.

Exporting your data

  1. Go to Settings → Data.

  2. Click Export my data to download a full JSON export of all your properties, certificates, tenants, tasks, contacts and tax records.

  3. This export satisfies your right to data portability under UK GDPR.

Deleting your account

  1. Go to Settings → Data and click Delete my account.

  2. This permanently deletes all your data. Export your data first if you need to keep it.

warning
Account deletion is immediate and irreversible. There is no recovery option after deletion.
